We are seeking a highly organized and proactive Virtual Assistant to provide administrative support to our client. This role is open to Filipino citizens based in the Philippines only. The ideal candidate will be adept at managing calendars, coordinating meetings, handling correspondence, and performing various administrative tasks to ensure the smooth operation of our client’s workflow. This is a remote work that requires excellent communication skills, attention to detail, and the ability to prioritize tasks effectively.

Responsibilities

  • Manage the General Manager’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prepare materials for meetings, conferences, and presentations.
  • Screen and prioritize incoming emails, phone calls, and other correspondence.
  • Act as a liaison between the General Manager and internal/external stakeholders, conveying messages and requests accurately and professionally.
  • Conduct research, compile data, and prepare reports as needed.
  • Perform data entry as required.
  • Assist with personal tasks and errands for the General Manager as requested.
  • Manage and maintain digital files, documents, and databases.
  • Handle confidential information with discretion and professionalism.
  • Anticipate the needs of the General Manager and proactively address them.
  • Provide administrative support for special projects and initiatives as directed by the GM.
  • Collaborate with other members of the executive team and administrative staff to ensure seamless operations.

Required qualifications

  • Minimum of 5 years proven experience as an Executive Assistant, Administrative Assistant, or similar role, preferably supporting high-level executives.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong verbal and written communication abilities, with a high level of professionalism.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and remotely with minimal supervision, while maintaining a high level of productivity.
  • Discretion and confidentiality when handling sensitive information and matters.
  • Bachelor's degree preferred.
  • Previous experience working in a virtual or remote environment is a plus.
